Recreation Administrative Assistant
Work Week:
The expected hours will be day-time, hourly and set according to season – will not exceed 22.5 hours a week.
Description of Work:
Primary responsibilities include data-entry, answering telephones, bookkeeping, seasonal flyers/brochures, process registration forms, maintain all financial transactions, handles public requests and other related work as required. Recreation Administrative Assistant is expected to cross-train and possibly share responsibilities with night-time Program Coordinator. The Recreation Administrative Assistant reports to the Director of Parks and Recreation.
Examples of Work:
Ø Computer proficiency in Outlook, QuickBooks, Word, Excel and Publisher required.
Ø Assist in developing marketing techniques and promotional materials for programs, special events and seasonal flyers.
Ø Assist with annual special events.
Ø Handles program registrations.
Ø Develop and revise seasonal flyers/brochures for special mailings.
Ø Perform all data-entry, filing and duplication.
Ø Ability to use e-mail both to send and receive bi-monthly Commission Minutes and other correspondence.
Ø Process user permits as required.
Ø Keep accurate financial and personnel records and assist with payroll.
Ø Process purchase order requests.
Ø Keep inventory of supplies and order as needed for both the office and programs.
Ø Oversee programs offered by department.
Education Requirements:
Ø Graduation from high school; college-education preferred.
Ø Four (4) years of quality office experience may be substituted for post-high school.
Physical Requirements:
Ø Good health and freedom from disabling physical or mental defects that would affect ability and performance duties.
Ø Ability to perform job related manual work.
